Data import for Custom tables

Custom table items can be registered by importing files.
This section describes how to create and upload the imported data.

Please contact us if you would like to use the "Custom tables" feature in the future.

We assume that you will use file import in the following cases

To upload new data
This may be the first time you have started using a custom tables and are importing data, or you may be importing data for an employee for whom you did not previously have registration data.

To upload changed data
This is the case, for example, when you already have employee registration data, but you want to import data to change the content.

To upload additional unregistered item data
This is used when there is already registered data, but additional data is to be imported only for unregistered areas.

In all of the above cases, first prepare the template for import and then upload it to Workcloud.

1. Template preparation for input

① Click on ADMINS "Data import".
② Click on "Import custom tables.

③ Select the target file name from the drop-down list.
④ Click on "Download template.

⑤ Open the downloaded template and click "Enable Editing" at the top of the screen.

Up to this point, new data, changed data, and uploading only unregistered items are all the same.

To upload new data

(If you already use a custom table) A file will be downloaded that reflects the data for the other employees. Delete all rows containing employee IDs.
If the data is not yet included, an empty template with only the items will be downloaded.

⑦ Enter the contents to be imported. Please enter all required fields
Notes1: Leave "Record ID" in column C blank.
Notes2: Note the line where data entry was started. You will need this information for subsequent uploads.
In the example above, this is line "9".

⑧ Save the file format as ".xls".
⑨ Click "Save."
*If the compatibility check confirmation screen appears, click "Continue".

After this, proceed to "Upload data"

■To upload changed data

⑥ Leave only the rows for the employees whose registration data you want to change, and delete the rows for the other employees (whose data you do not want to change).

(Example) To change "date of birth" in column K, line 9 of the template

⑦ Open the file and change the contents of the cell in row 9, column K and overwrite it.
If you would like to register data in an item that has not been entered (e.g., weight), please enter the data.
* Leave the "Record ID" in column C as it is.

⑧ Template data for change is ready.
Note: Note the line where you started the change data entry. This will be needed for subsequent uploads.
In the example above, this is line "9".

Save the file format as ".xls".
⑩ Click "Save."
*If the compatibility check confirmation screen appears, click "Continue".

After this, proceed to "Upload data".

To upload additional unregistered item data

⑥ Leave only the lines for the employees you wish to enter in the unregistered fields and delete the lines for the other employees.

(Example) Template To enter "weight" in column L, line 9

⑦ Fill in the fields you wish to register additionally.
* Leave the "Record ID" in column C as it is.

⑧ Template data for add is ready.
Note: Note the line where you started the additional data entry. This will be needed for subsequent uploads.
In the example above, this is line "9".

Save the file format as ".xls".
⑩ Click "Save."
*If the compatibility check confirmation screen appears, click "Continue".

After this, proceed to "Upload data".

 

2. Upload data

① Click on ADMINS "Data import".
② Click on "Import custom tables.

③ Select the target file name (custom table name) from the drop-down list.
④ Select the file to import.
⑤ Select the "Data starts from now" you wish to import.
Click "Upload."

⑦ Confirm the data displayed and click "Import.
*In the case of "Change" or "Unregistered data only", "Overwrite existing" will be displayed in the import status.

⑧ The top of the screen will display "Imported X record(s)" and the import is complete.

The above figure is displayed.

[Supplement]
Data imported into a custom table are displayed in order of oldest record number.
Therefore, you are not free to rearrange the order.
