Viewing of employees of other teams

If an employee wants to view the timesheets or leave information of an employee on another team, the setup differs depending on whether the employee wants to both view and approve, or only view.

View and approve other team employees
The employee must have approver privileges for the employee you wish to view and approve.

Only view (but not approve) other team employees
Approver authority is not required. However, the employee must be registered on the same team as the employee who is viewing the employee.
If there are other employees on that team, he (she) will be able to view them as well after registration. It is not possible to only view a specific employee.

【Points to note】

View and approve other team employees

The admins set the employee as the approver for the employee to view and approve.

(Example)   Goro Minato (employee ID 161) would like to view and approve.
Current: Goro Minato is a member of Sales Dept. 2.
     ↓
From now on: Goro Minato would like to view and approve Taro Shinjuku (employee ID138), who belongs to the IT team, while he remains in Sales Dept. 2.

Go to the "Manage employees > Settings > Teams & approvals" screen for the employee being viewed (e.g., Taro Shinjuku) and click "Edit".

Select "Use direct approvers" for "First level approvers" and set the employee (e.g., Mr. Goro Minato) to view & approve the requests, and save it.
You are now set as the approver for the subject employee.

Notes: If you want to specify the previous approvers as well, set them in "Use direct approvers".
(There will be two approvers.)

The individual (employee who views and approves other teams)

When the employee (e.g., Goro Minato) is logged in, click SUPERVISORS "My teams" button to view the information.
It will appear on the right side of the screen as "Directly approvees". He (or she) can view them by clicking on "Timesheets" or "Leave."
*Approvals can be made on the "Approvals" screen above My team.

 

Only view (but not approve) other team employees

The admins register the employee on the same team as the employee being viewed. He (or she) is then registered as a leader without approval rights.
Note: If the employee being viewed belongs to more than one team, the viewing employee must be registered with the main team.

(Example)  Goro Minato (employee ID 161) would like to only view. He does not approve.
Current:
Goro Minato is a member of Sales Dept. 2.

     ↓
From now on: Goro Minato would like to view Taro Shinjuku (employee ID138), who belongs to the IT team, while he remains in Sales Dept. 2.

Click ADMINS [Team & organization].

Click on the team you want employees to view (e.g., IT team).
The team name and team members will appear on the right side of the screen.

Click on "Add member."

Enter the employee ID or name and click "Search".

From the subjects displayed in the bottom row, click the "+" for the appropriate employee name.
Note: Leave the title blank and do not check the "Set as approvee" checkbox.

The message "Added a team member" will appear at the top of the screen.

Click on "Close."

You could add the employee viewing and the employee being viewed as members of the same team.

⑨ If the employee is not the team leader, he/she will not be able to see the timesheets and leave information of the employees to which he/she belongs.w
Therefore, set the employee to "Team leader" by clicking "↑" on the name of the employee ⑧ who is in "Team members".

A confirmation screen will appear, but do not check anything or set anyone as an approver and click "Save".

There will be more than one leader, including those who have already been set up as leaders and those who just want to view.

The individual (employee who views other teams)

When the employee (e.g., Goro Minato) is logged in, click SUPERVISORS "My teams" button to view the information.
The team name is displayed on the right.  He (or she) can view them by clicking on "Timesheets" or "Leave."
*If there are other employees registered as the main team for that team, their names will also be displayed. Click to view.

 

Points to note

Leaders cannot view each other's timesheets or leave screens.
If the employee also wants to view the current team leader, the admins must click "↓" to remove him (or her) as leader.
However, since removing the current team leader as leader may change the approver, the admins will first check the approver settings of the current team leader and team members.
*This is not necessary if the employee does not need to view the leader's timesheets or leave.

Click on the name of the current team leader (e.g., Koichi Urayasu).

Go to the "Teams & approvals" screen.
You can see the current approvers. Click "Edit".

Check if "First level approvers" is set to "Use direct approvers" (or "Self approver").
If it is set to "Use team approver (XXXX)," change it to "Use direct approvers," set the same person as before in the "Lookup approvers," and save.
If "Use direct approvers" is selected, do not change it and click "Cancel" to close the screen.
If there are multiple employees on the same team, please check all of them in the same way, and if they are not "Use direct approvers," please set them as described above.

Click on "Teams & organization," then click on the team you had set up.

Click "↓" to remove the current team leader from leadership.

Read the message and click "Yes".

An employee who was a leader moves to a team member.
