When adding a new employee to Workcloud, please follow the steps below.
<Change display position>
Workcloud released its “HR dashboard” feature in October 2024.
As a result, the display position of the screen changed between before and after the release.
If you would like to see the display position before the release, please refer to “Changes when switching” in the “HR dashboard”.

1. Add Screen - Entering Information
① Click on ADMINS [Manage employees].
② Click on “HR” - “Invitations”.
③ Click the "+" in the "All invitations" tab to switch to the Add Employee screen.
Or click on the "New invitation" tab to display the Add Employee screen as shown above.
④ Enter the email address, employee ID, name, and other information required for registration.
2. Send invitation email
After entering the required information, send an invitation email to Workcloud to the added employees.
You can send the invitation email immediately after entering the required information in the previous section.
Alternatively, you can complete the employee registration only and send the invitation email later.
■To send an invitation email immediately
Click on "Invite."
An invitation email like the one shown above will be sent to the target employee from the address "notifications@workcloud.jp".
The employee must set a password from the link within 48 hours of receiving the email. (It is possible to send the invitation email again after the expiration date.)
■To send an invitation email later
Change the toggle to "Don’t send" and click "Add w/o mail".
No invitation mail will be sent to the target employee; only the employee will be added to Workcloud.
<How to send>
① From the "Manage employees" menu, click on "HR" - "Invitations.
② Search for employees to send invitation emails by name, employee ID, etc.
③ Check the boxes for eligible employees.
④ Click "Invite selected."
*You cannot resend to employees who have already responded to the invitation mail within the expiration date.
To send to multiple employees
■(without searching) Check the target from the list
There is a checkbox to the left of the name.
Check the boxes for the employees you wish to send to, and then click "Invite selected" in the upper row.
*You cannot resend to employees who have already responded to the invitation mail within the expiration date.
■Send from "Bulk select employees"
Click on "Bulk select employees. Then, search and specify by name or employee ID the employees you wish to send.
Next, click on "Fetch employees" and on the next screen click on "Send invitations". (You cannot send to employees who have already responded to the invitation mail within the validity period)
Note: "Invite all pending" allows you to send an invitation mail to all employees to whom you have sent an invitation email but who have not accepted and the invitation has expired, while "Invite all Uninvited" allows you to send an invitation mail to all employees to whom you have not yet sent an invitation mail.
※※To resend the invitation email※※
The employee must set up a password from the link within 48 hours of receiving the email. However, after the expiration date, you may send another email invitation.
