Email address to send notifications to

There are two employee email addresses used for Workcloud notifications: a company email address and a personal email address.
(You may use the same email address for your employees' "personal" and "company" email addresses)

If the "Available" setting is set for where notifications are sent to, we will tell you to which email address will be notified for current (in office), before joining the company, or after leaving the company.

Change email address

Current (in office) 

Email notifications from Workcloud are usually sent to "Available" destinations.
The default recipient for automatic determination after the date of hire is the "Company email address".
If you wish to change it, you may change it to "personal email" for each eligible employee.
To check the current destination email address, refer to the bottom of the "Manage employees > Settings > Email & language settings" screen for the target employee.

If the destination has been changed to "Personal email", "Personal email (his/her mail address)" is displayed as shown in the figure below.

 

Before joining the company

With the default setting of "Available", notifications will be sent to the "personal email address" prior to the date of hire.
After the date of hire, the recipient will be automatically switched to the "Company email address".

Workcloud invitation e-mails, etc. that employees receive prior to their hire date will be sent to their personal email address. After the date of hire, various notifications such as payslip notifications, request approval (rejection) notifications, and requests for year-end tax information, etc. will be sent to their company email addresses.
If you change their sending address to their "personal email" after their hire date, they will continue to receive various notifications to their personal email address after their hire date.

 

After leaving the company

With the default setting of "Available," various notifications will be sent to the employees' "company email" until the day of the resignation (termination).
From the day after their resignation (termination) date, the recipient will automatically switch to their personal email address.

Notifications such as payslips received after their resignation date will be sent to their personal email address.
*If you have changed their sending address to "Personal email" after they join the company, they will continue to receive various notifications to their personal email address. The destination after the day after their resignation date is also their "personal email".

<Notes>
In the "Termination settings" section of the "Manage employees > Settings > Deactivate / delete" screen for the subject employee, you can enter his/her last day of work prior to his resignation date in "Last working date".
If you set this date, the notification address will automatically switch to the employee's  “Personal email address” for the day after the “Last working date”. (Released on October 7, 2024)

 

Change email address

Admins can change an employees' company email address and personal email address.
To change them, go to the "Manage employees > Settings > Email & language settings" screen for the employee. You will then need to enter the password you use to log in under "Your current password (needed to save changes)".

*Only the "Personal email" can be changed by the employee him/herself.
