Workcloud released the “HR dashboard” feature in October 2024.
(Previously, this feature of your company was set up by us and the display changed.)
After the release of the “HR dashboard”, the “Admin dashboard” menu that was previously displayed will be hidden.
Instead, an "HR dashboard" tab will be added to the "Manage employees" menu.
There, you will be able to see in more detail what was previously displayed in part on the Admin dashboard screen.
You can check the number of employees who are in pending change requests, scheduled to join the company, entering onboarding, or about to leave.
You can also click on each badge to see who it is.
Employees who will soon become eligible employees can also be viewed from the same screen.
Depending on the company's settings, some of the following items may be hidden or displayed elsewhere.

How to use
① Click ADMINS [Manage employees].
② The HR dashboard screen will appear.
You can check the number of employees who are in pending change requests, scheduled to join the company, entering onboarding, or about to leave.
You can also click on each badge to see who it is.
Employees who will soon become eligible employees can also be viewed from the same screen.
Pending actions" badges
Click on each badge except "Change requests" to display the subject's name.
Upcoming events
The number of joiners, leavers, and employees whose probationary period has ended this week, this month, or next month is shown.
The number of maternity leave, child-care leave, and long-term leave that are about to start or end are also displayed.
The number of employees who need to renew their visas is shown.
Click on each link to see who is eligible for each.
Notifications
Admin notices will be displayed.
*This is the same content that was displayed at the bottom of the "Admin dashboard" screen before the switch to the "HR dashboard.
Changes when switching
When switching to HR dashboard use, some screens in the "Manage employees" menu are deleted or added, and the display position is changed.
Change of "Manage employees" menu position
The ADMINS "Manage employees" menu has been moved to the position where the "Admin dashboard" was located (top row).
Addition of "HR dashboard" tab
An "HR dashboard" tab has been added to the "Manage employees" menu.
The existing "HR", "Payroll", and "Time & leave" tabs have been shifted to the right.
Deletion of "Employee directory" screen and addition of "Search employees" tab
The "Employee directory" screen, which used to be located in the "HR" tab, has been removed.
A new "Search employees" screen has been added to the "HR dashboard" tab, where you can search for employees .
■Before switching
Clicking on "Employee directory" showed the employees in the bottom row.
■After switching
After clicking "Search employees," enter an employee ID or name to search, and the corresponding employee will appear on the bottom row.
Then click on the name to go to the "Employee summary" screen for the subject employee.
If you click "Go to page" on the right side of the name, you can select the screen you wish to view.
Add "Query employee data" screen (Employee condition extraction)
A new "Query employee data" screen has been added to the "HR dashboard" tab.
By setting the conditions you wish to extract on this screen and then performing a search, you can extract only the relevant employees.
① Click on "Query employee data."
② Under "Available filters," set the items you wish to extract.
(Example) Age
③ Under "Selected filters," set the contents to be extracted, the order in which they are to be sorted, etc.
(Example) 30-49
*If you want retirees to be included in the extraction, check the "Include retired employees" checkbox.
④ Click on "View." The corresponding employee(s) will appear in the lower row.
*If you wish to download the file in Excel format, check the items you wish to output in the "Excel output settings" section. Then click "Download.
It will be downloaded as shown below.
■Save Filters
If you wish to use the conditions created above in the future, you can save them.
Once saved, you can use and extract them at any time under the "Saved filters" tab.
① Under "Available filters," set the items you wish to extract.
② Under "Selected filters," set the contents to be extracted, the order in which they are to be sorted, etc.
*If you want retirees to be included in the extraction, check the "Include retired employees" checkbox.
③ To download and use the file, check the items you want to output in the "Excel output settings" section.
④ Click "Save this filter."
⑤ The "New employee filter" screen will appear.
Enter an extraction name in the "Filter name" field (this is the name that will appear in the extraction list).
Set "Private?" to "On" if you do not want managers or HR managers other than yourself to see it.
⑥ Click "Save".
⑦ It will appear in the list on the "Saved filters" tab.
If you want to extract by that filter name, click on the name.
Click on "View filter query" to see the corresponding employee names.
Changes to the Add Employee screen
Until now, when you clicked on the "Manage employees" menu, the "Employee directory" screen that immediately appeared had an Add Employee button.
Clicking this button brought up a link to the Invite employee screen.
Since the "Employee directory" screen is no longer available, the location for invitation employees has changed.
■Before switching
When clicking on the "Manage employees" menu, the "Employee directory" screen that appears immediately has an "Invite more employees" button.
■After switching
① (After clicking on the "Manage employees" menu) Click on "HR" - "Invitations".
② Click the "+" in the "All invitations" tab to switch to the Add Employee screen.
Or click on the "New invitation" tab to display the Add Employee screen as shown below.
Hide the "Admin dashboard" menu
The "Admin dashboard" menu will be hidden (deleted). The contents of the following figure that used to be displayed in this menu will also no longer be displayed.
From now on, you will see it in the "Manage employees > HR dashboard" > HR dashboard" screen.
