Team registration

Please follow the steps below to add teams or team members, move to another team, etc.

Add teams or team members

1. Add teams

① Click “Teams & organization” in Admin menu.

Click on "Add new team."

Enter the team name and other necessary information.
*For some items, clicking the "?" mark to the left of some items to get hints on how to set them up.

Click on "Save."

 

2. Add employees to the team

Click on the name of the team to which you want to add employees. The selected team will appear on the right side.
Click on "Add member."

Enter the name, employee ID, or registered email address of the employee to be added and click "Search".

Click the plus (+) next to the name of the employee to be added.
The message "Added a team member" will appear at the top of the screen.

When you have finished adding team members, click "Close".
*To add another team member, repeat steps and .

When you have completed your addition, his/her name will appear in the "Team members" section.

Name display color
Employee names are usually displayed in blue. If the employee belongs to more than one team, the name will appear in blue for the first team he/she is registered with and in orange for the second and subsequent teams he/she is registered with.

 

3. Set up a team leader

The team leader is automatically set as the approver for that team member.
(Reference: "Approver" in "Manage employees > Settings > Teams & approvals")

The team leader of the approver can be received notice of team member's requests for paid vacation, etc.
If you want to set an approver other than the team leader, please refer to "Registration of Approval Setting".

Click "↑" next to the name of the employee you wish to set as leader.

Set viewing permissions, etc. and click "Save".

*If there is already the team leader, specify which one will be the approver of the team members.

③ Once you have completed the designation of the team leader, his/her name will appear under "Team leaders.

Team leaders will see the "SUPERVISORS" above the "EMPLOYEES" on the home, as shown in the figure below.
The items displayed in the "SUPERVISORS" vary depending on your company's settings.
For details on "SUPERVISORS", please refer to "Supervisor function( Approvals, My teams, Shift management)".

 

※※Add sub teams※※

To add a sub team, you can also select the main (parent) team and go to "Add sub team".

 

Transfer to another team

To transfer an employee from his/her current team to another team, please follow the steps below.

Click on the "" to the right of the name of the team member you wish to transfer to another team.

Specify the team to transfer to.
Click on "Next."

A confirmation screen will appear. If there are no problems, click "Save".
Notes: If you want to designate him/her as the leader of the team to which he/she will be transferred, check the "Set as leader on this team" checkbox. The title can be selected and designated when the title is registered in the custom settings in advance.

He/She will be added to the transferred team.

 

Remove from team members

To remove a member from his/her team, please follow the steps below.
(If you wish to transfer from his/her current team to another team, please refer to "Transfer to another team" above).

Click on the "-" to the right of the name to be removed from the team member.

Read the message and click on "Yes."

The message "Team member removed" appears at the top of the screen and the subject employee has been removed from the team.

 

Deleting a team

To delete a team due to the team being merged or discontinued, follow the steps below.
Please change the registered team of the relevant team member before deleting the team.
Delete the team with no registered members.
①Click on the appropriate team.
②Click on "Settings".

③Click on "Edit".

④Click on <Delete>.


⑤Click on ”Yes”.

Note: If you click "Yes" in ⑤, you can delete the team even if that team member remains.
If the approver of that member was the team leader, this process will set the approver as unsettled.

If the member is not registered to any other team, he/she will be stored in "Unassigned employees".

 

※※Notes on canceling an already approved requests※※

Requests and approvers are tied together.
If the approver before the change has already approved the request, such as a request for paid leave, the cancellation request will not reach the approver after the change. It will be sent to the approver before the change.
Therefore, if the approver before the change is still enrolled, please contact the approver before the change to request cancellation. If the approver before the change has already resigned, someone with administrative privileges should approve the cancellation on his/her behalf.
