For first-time setup
If you are setting up the overtime schedules and overtime threshold policy for the first time, please create the following.
If you are already using it and setting up the overtime schedules for the new year (the following year), refer to “Annual tasks”.
I. Create a monthly overtime schedule
① Click [Company settings] of ADMINS.
② Click “Overtime schedules” under “Time”.
③ Click “Add new overtime schedule”.
④ Enter the schedule name, etc.
⑤ For the “Schedule breakdown,” enter hours only in the sections requiring changes to the “Required threshold,” “Company threshold,” and “Legal threshold” for each month.
All other items will be calculated using the hours defined in the “Employee type settings.”
⑥ Click “Save”.
Ⅱ. Link policies and schedules
Once you have completed adding the overtime schedule in section I, link this overtime schedule to the overtime threshold policy.
You must link the overtime schedule created in section I to the overtime threshold policy. However, if the policy has not yet been registered, the lower section will display “There are no threshold policies attached to this schedule,” as shown below.
In that case, you must create the policy on a separate screen.
① Click “Overtime threshold policy” under “Company settings > Time”.
② Click “Add new threshold policy”.
③ Enter the policy name, etc.
④ Click “Save”.
This will create the new overtime threshold policy.
⑤ Click “Overtime threshold policy” under “Company settings > Time”.
⑥ Verify that the policy name created in step ③ is displayed, then click “Create schedule-policy map”.
⑦ Select the “Policy year” and “Overtime schedule” to link to this policy.
⑧ Click “Save”.
This completes linking the overtime schedule to the policy.
Proceed to the next section, “Ⅲ. Application to Employee Types”.
Ⅲ. Application to employee types
After linking the overtime threshold policy to the overtime schedule, configure the employee types to which this overtime schedule applies.
① Click [Employee type settings] of ADMINS.
② Select the applicable employee type. (In the example above, select “Short (6H)”.)
③ The “Employee type settings > Overtime” screen will open. Click the “Overtime” tab.
④ Click “Edit” under “Overtime related”.
⑤ Select the registered policy name for the overtime threshold policy. (In the example above, select “short OT”.)
⑥ Click “Save”.
This applies the overtime schedule to this employee type.
Once you have completed setting the applicable employee types, you can confirm it in “Company settings > Time > Overtime threshold policy” as shown below.
